A counsellor takes over an existing case from a colleague — temporarily for professional consultation, or permanently in case of absence. This page describes the flow as the users experience it, the rules behind it and the services that carry it.

KurzfassungSummary

What it is. Case handover governs how an ongoing counselling session reaches another professional at the same counselling centre — in case of absence, when someone leaves, or when a colleague is asked for professional advice.

Was heute läuft. What works today. A counsellor can take a case: she searches for it, states a reason and requests access. Depending on the reason, access is granted at once, or the person seeking advice consents in the chat. After that the colleague reads along for a limited time, or takes over the counselling session entirely.

Was gerade entsteht. What is being built. The other direction — a counsellor actively hands her case over to a colleague before going on leave, and the colleague accepts — is developed, but not yet shipped. The same applies to the neutral handover reasons (chapter 5).

She sees the cases of her own counselling centres — not her own cases, and on request closed ones as well — and can filter by topic. The entry point is the list of counselling sessions.

The reason decides whether the person seeking advice has to consent, and whether the access becomes reading along or taking over (chapter 5).

Fall abgebenHanding a case over

in Entwicklungin development
Not yet shipped. The flow below is developed and tested, but not yet on the servers of the counselling centres. Until then, only the path in chapter 2 leads to a handover. This page will be updated once it has shipped.
  1. 1
Kollegin und Grund wählenChoose colleague and reasonAbgebendeOutgoing counsellor
The responsible counsellor opens her own case, picks a colleague at the same counselling centre and the reason — planned absence, for example.
  2. 2
Angebot geht rausThe offer goes outSystemSystem
The colleague is notified. A case only ever has one open offer; if it goes unanswered, it expires after three days. The case never changes hands before that.
  3. 3
Kollegin nimmt an oder lehnt abThe colleague accepts or declinesEmpfangendeReceiving counsellor
If she declines, everything stays as it was and the counsellor handing over is notified. Acceptance then runs through the same rule check as taking a case — including the consent of the person seeking advice, if the reason requires it.
  4. 4
From here the flow is identical to steps 6 to 8 in chapter 2: reading along or taking over, chat room, audit log — plus the direction of the handover and the receiving person.

One point matters here: the colleague's acceptance does not replace the consent of the person seeking advice. There is no additional consent step — the same rule per reason applies as when taking a case.

Rollen & SichtbarkeitRoles & visibility

The core of the underlying decision: membership is not visibility. Technically the counsellors of a counselling centre are silent members of the chat room, so that keys and history are present. Only those who have been granted access are visible and able to act. The person seeking advice sees the active counsellor and nobody else.

Why the wording is changing. The reasons shipped today name illness, among others. That would put health data about an employee in the database, in the audit log and in the message to the person seeking advice. A neutral catalogue has therefore been decided: planned absence and unplanned absence instead of leave and illness. The change, including overwriting the old data, is developed and waiting to ship.

Verbindliche RegelnBinding rules

Consent: if the person seeking advice objects, active consent is mandatory. Per reason the rule may only be stricter, never looser.
Disclosing the reason to the person seeking advice is a separate switch per organisation.
Scope: individual counselling sessions only. Open consultation hours, internal chats and group sessions are excluded.
Permission: only within the same counselling centre; checked in the service, not in the interface.
  • Benachrichtigung: Ratsuchende erhalten die Nachricht in ihrer Sprache. Notification: people seeking advice receive the message in their own language.
